Description & Requirements

Role purpose

To provide comprehensive, high-quality operational support across the employee lifecycle, including onboarding and offboarding, HR systems and transaction processing, payroll and timekeeping administration, leave-related HRIS updates, records management, reporting, training, and employee support. The role works closely with the in-market People team and Firmwide People functions to deliver timely, accurate, and consistent HR services across supported offices and employee populations.

Main responsibilities

  • Coordinate onboarding and offboarding activities for lawyers and Professional & Business Services employees across supported offices and practice groups, ensuring required documentation, system transactions, communications, and local office arrangements are completed accurately and on time.
  • Support summer associate, first-year associate, transfer, contractor, and consultant onboarding, including new-hire paperwork, HRIS profile creation or conversion, orientation scheduling, training enrollment, first-day instructions, Form I-9 verification, and personnel file creation.
  • Process employee lifecycle transactions in SuccessFactors and related systems, including new hires, transfers, title and reporting changes, promotions, compensation changes, leave coding, and terminations.
  • Prepare and submit HR and payroll change notices and other required documentation for employee lifecycle events, special arrangements, and leave-related changes.
  • Coordinate local office setup for new joiners and transfers, including badges, parking, workspace-related requests, equipment coordination, and other location-specific access or resources.
  • Support biweekly timekeeping and payroll administration by reviewing timesheet completion, following up on missing or incorrect submissions and outstanding approvals, assisting with time-entry corrections, and conducting payroll spot checks before final processing.
  • Respond to routine employee questions regarding timekeeping, payroll, benefits resources, PTO, HR systems, personal-information changes, policies, and HR processes, escalating more complex matters to the appropriate People team resource.
  • Provide Dayforce and time-entry guidance and training to employees, including support for non-exempt timekeeping requirements.
  • Process leave-of-absence HRIS updates and related change notices for supported employee populations in coordination with the appropriate leave and benefits resources; maintain accurate leave coding and documentation without independently determining leave eligibility or accommodation outcomes.
  • Maintain accurate and confidential electronic and paper personnel records, including onboarding, employee changes, leaves, employee relations documentation, special arrangements, Form I-9 records, and departures, in accordance with retention requirements.
  • Prepare standard and ad hoc reports and data audits using SuccessFactors, Dayforce, and other People systems, including new-hire, birthday, new hire, practice-group, payroll, and compliance-related reports.
  • Support employment verification requests, departure documentation, corporate card termination requests, employee recognition, and life-event acknowledgments, as assigned.
  • Coordinate orientation schedules, calendar invitations, employee communications, reminders, and training logistics in partnership with relevant People and business teams.
  • Provide cross-office backup coverage for time-sensitive onboarding, offboarding, payroll, audit, reporting, and employee support needs, as assigned.
  • Support immigration and international assignment coordination by participating in recurring meetings, tracking follow-up items, and liaising with the appropriate internal teams.
  • Identify opportunities to streamline recurring HR processes, improve data accuracy, and enhance the employee experience while maintaining confidentiality and a high standard of client service.
  • Participate in People team projects and perform other HR and administrative duties as assigned.

Technical skills, qualifications and experience

  • Bachelor's degree in Human Resources, business, psychology, or a related field preferred; equivalent relevant experience will be considered.
  • Prior experience in an HR coordination, HR operations, payroll/timekeeping, or administrative support role, preferably in a professional services environment.
  • Working knowledge of employee lifecycle administration, HR records, onboarding and offboarding, payroll and timekeeping processes, and basic HR policies and practices.
  • Experience with HR information systems and timekeeping platforms; SuccessFactors and Dayforce experience is preferred.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook, with the ability to prepare accurate reports and manage detailed data.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities and meet recurring and time-sensitive deadlines.
  • Exceptional attention to detail and commitment to data accuracy, documentation, and follow-through.
  • Strong written and verbal communication skills and a service-oriented approach when working with employees, managers, and cross-functional teams.
  • Ability to exercise sound judgment, recognize when escalation is appropriate, and handle sensitive and confidential information with discretion.
  • Ability to work independently while collaborating effectively across offices, functions, and geographic boundaries.
  • Adaptability, initiative, and a continuous-improvement mindset in a fast-paced and changing environment.
